1. Introduction
Mindmap Training & Consulting CC ("Mindmap", "we", "us", "our") respects your privacy and is committed to protecting the personal information of everyone who visits this website, enquires about a course, or applies to study with us. This Privacy Notice explains what information we collect, why we collect it, how we use it, and the choices available to you. It applies to www.mindmaptc.com and to the enquiry, application, and course-related communications that flow from it.
This notice is written in plain language to be genuinely useful to you rather than as a substitute for formal legal advice; if you need a legally binding assessment of your specific situation, please consult a qualified advisor.
2. Information We Collect
Depending on how you interact with the Site, we may collect:
- Contact details — name, surname, phone number, email address, and town/country of residence;
- Application & enrolment information — profession, employer, ID or passport number, gender, preferred course, enrolment year, and any qualification documents or certified copies you upload;
- Enquiry details — the course you are interested in, your message, and how you heard about us;
- Technical information — general, non-identifying details such as browser type and approximate location used to keep the Site secure and working correctly;
- Preference information — your selected language, stored locally in your browser so the Site remembers it on your next visit.
3. How We Use Your Information
We use your information to:
- Process and respond to course enquiries and applications;
- Communicate with you about your enrolment, course schedule, fees, and certification;
- Meet reporting or verification obligations to accrediting and regulatory bodies such as the HPCNA CPD Desk and the Namibia Medicines Regulatory Council, where applicable to your course;
- Maintain the security of our forms (for example, using reCAPTCHA to reduce spam submissions);
- Improve the Site and the clarity of our course information; and
- Meet our own legal, accounting, and administrative record-keeping requirements.
4. Legal Basis for Processing
We process your personal information on the basis that it is necessary to respond to your enquiry, take steps towards entering into an enrolment agreement with you, comply with our regulatory and accreditation obligations, or because you have given us your consent (for example, by voluntarily submitting a form). Where we rely on consent, you may withdraw it at any time by contacting us.
5. Sharing Your Information
We do not sell your personal information. We may share limited information with:
- Accrediting and regulatory bodies (such as HPCNA), where required to register, verify, or award CPD/CEU credit for a course you complete;
- Service providers who help us operate the Site, including our form-delivery provider (which routes submitted enquiry and application forms to our email inbox) and Google, whose reCAPTCHA and website-translation services process limited technical data to protect and translate the Site; and
- Professional advisors or authorities, where required by law.
Each of these providers only receives the information necessary to perform its function and is bound by its own privacy terms.
6. International Transfers
Because some of the services above (such as Google's reCAPTCHA and translation tools, and our form-delivery provider) operate on infrastructure outside Namibia, limited technical and submission data may be processed outside the country. We select providers that apply recognised security and privacy safeguards.
7. Data Retention
We keep application and enrolment records for as long as necessary to administer your course, satisfy accreditation and regulatory record-keeping requirements, and meet our own legal and tax obligations, after which they are securely deleted or anonymised. Enquiry messages that do not lead to an enrolment are generally retained for a shorter period, only as long as needed to respond to you and for reasonable follow-up.
8. Your Rights
You may ask us to confirm what personal information we hold about you, request that we correct inaccurate information, ask us to delete information we no longer need to keep, or object to a particular use of your information. To exercise any of these rights, contact us using the details below; we will respond within a reasonable time.
9. Security
We use reasonable technical and organisational measures — including secure form handling and restricted access to stored applications — to protect your information against loss, misuse, or unauthorised access. No method of transmission over the internet is completely secure, and we encourage you to avoid sending highly sensitive documents (such as full ID copies) other than through the official application channels we provide.
10. Children's Privacy
Our courses and this Site are intended for healthcare professionals, prospective students, and other adult visitors. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
11. Changes to This Notice
We may update this Privacy Notice from time to time to reflect changes in our practices or in applicable law. The "Last updated" date at the top of this page shows the most recent revision.
